Red Hat Event Kit Project


A global project providing teams with self-service branded resources for talent outreach

Red Hat’s global emerging talent, talent acquisition, and DEI teams attended numerous campus and outreach events each year to connect with high-demand talent. However, they faced a challenge in that they had inconsistent or insufficient branded materials to use at these events (like pull-out banners, swag, and printed collateral), nor a centralized way to access these resources. This resulted in inefficiencies in event planning, missed opportunities to showcase the brand effectively, and a fragmented event experience for booth attendees. To address this, I led the development of a global self-service ‘events kit’ that provided teams with everything they needed to make an impactful impression at events while saving time and effort.

My responsibilities included:
  • Leading and tracking the project.
  • Ensuring a consistent application of our brand across event kit materials, including printed collateral and pullout banners, in collaboration with the design team.
  • Sourcing and procured high-quality, sustainable event kit items across EMEA, APAC, and the Americas, including pull-out banners, tablecloths, various swag options, print materials and iPads.
  • Partnering with the logistics team to create a self-service portal for the team to order event kits.
  • Working with IT to configure 100+ iPads for event use, integrated with our CRM for lead capture.
  • Creating CRM landing pages and tracking tags for better event ROI measurement.
  • Training our global teams on how to use the kits.


Results:
This project was logistically complex and quite challenging due to idiosyncrasies in the global supply chain and the quality of kit items, as well as time sensitive due to our busy events schedule. However, we pulled it off!
  • Teams now have access to branded, pre-configured self-service kits including banners, tablecloths, printed materials, swag, and CRM-connected iPads.
  • Kits have been deployed at over 50 events globally, with a streamlined replenishment process in place for future needs. 
  • The project saved significant time previously spent on manual efforts in sourcing these items for events.
  • Our brand presence and professionalism at events has improved greatly.
